The Position: Document Control Analyst
 
Our client is seeking a qualified Document Control Analyst to support the acquisition of the new Refinery in the USA. The successful candidate will work out of our Client’s corporate head office in Calgary, Alberta.
 
Reporting to the Business Development Director, this position will be responsible for the control of the transition project documents, which includes but is not limited to: archiving data room documentation, processing capture and archive data transferred from the counter party at close, and working with other Business Units and functional groups to create the initial Information Management Plan for the Superior Refinery business entity.
 
In addition, the Document Control Analyst resource will coordinate with the project team, business units, and other functional groups to facilitate the efficient completion of activities related to this project.
 
This role will also provide Quality Control on project documentation to ensure expectations and standards are met.
 
CORE RESPONSIBILITIES:
 
•Transfer and archive Data Room content to our client's internal document management system
•Establish Business Unit and Functional Group taxonomy – transfer documents into appropriate archive location
•Capture and archive transaction closing data within our client's internal document management system
 
•Manage project generated document within appropriate repositories (SharePoint, Network Drives)
•Support project team in document management – Filing naming protocol, permissions management, taxonomy, document handling
 
MUST HAVES:
 
•5-7 years of project experience establishing and maintaining electronic document filing systems,
•Working knowledge of documentation repositories, i.e.Open text, Live Link
•Working knowledge of file structures, file naming protocol, and document life cycle
 
NICE TO HAVES:
 
•Related University Degree or Diploma (information science, records management, archival science, engineering, etc.) Or considerable related experience in Document Control, Records management & information management
•ECMS, ECMM, RM or AIIM certification
•Document control experience in a wide variety of working groups: Projects, Environment, Legal, Operations, Finance
•Understanding of bulk data transfer tools
•Downstream Oil & Gas Experience
